To support this, we are looking for an Executive Assistant to work in close partnership with our Managing Director.

About the Role

• This role goes well beyond traditional administrative support. The Executive Assistant will act as a trusted partner to the Managing Director, ensuring that priorities are clearly structured, communication flows effectively, and executive decisions are followed through the organization. This role will be operated at the center of leadership activity, interacting with senior managers, internal teams, and external stakeholders, with a strong strategic focus. It requires business acumen, discretion, anticipation, and strong organizational discipline. This position is based in Baku and involves travel as required to support the Managing Director and business priorities.

• Act as the primary coordination point between the Managing Director and internal / external stakeholders
• Manage complex executive calendars, travel, and high-level meeting coordination
• Prepare executive-level presentations, reports, briefing notes, and correspondence
• Ensure follow-up, tracking, and execution of Managing Director decisions across functions
• Support leadership meetings by structuring agendas, documenting actions, and monitoring progress
• Maintain strict confidentiality and professionalism in handling sensitive information
• Anticipate priorities, risks, and deadlines, proactively resolving issues before escalating
• Coordinate with regional and international stakeholders when required
• Support strategic initiatives and special projects led by the Managing Director

Skills & Qualifications

• Proven experience as an Executive Assistant (with at least 3-5 years) in a fast-paced, professional environment (preferably FMCG or multinational organizations)
• Fluent English (written and spoken) — mandatory
• Strong organizational and prioritization skills, with the ability to manage multiple executive-level demands
• Ability to work comfortably with ambiguity and frequently changing priorities in a fast-paced executive environment
• Trusted experience supporting senior executives, with a strong track record of discretion and confidentiality
• Excellent communication and stakeholder management capabilities
• High ownership mindset, with the ability to take responsibility, anticipate needs, and drive follow-through without constant direction
• Advanced proficiency in MS Office (PowerPoint, Excel, Outlook)
• Ability to work independently and proactively
